FAQ Why don’t some of my project documents appear in the Attach Documents section? Only files that are both uploaded to the project and toggled Share with Bid Packages will appear. Edit the bid package anytime; updates are immediately visible to all invited bidders. If I update a document later, do bidders see the new version? They appear to subcontractors during the “Request to Bid” process so they can self-certify what they already comply with—helping you pre-filter bidders without blocking anyone from applying. Subcontractors can still request to bid even if they don’t check every box. Requirements are informational and help you vet faster. Each one becomes a checkbox on the subcontractor’s Request to Bid screen. When they submit, you’ll see exactly which requirements they marked as met in the Bid Requests tab. FAQ Can a subcontractor still request to bid if they don’t meet all requirements? Yes. They can submit even with zero boxes checked. Requirements do not block submissions. Are internal notes visible to subcontractors? No. Internal notes are private to your team only. How many requirements can I add? Maximum of 10 per bid package. Can I edit requirements after the bid package is published? Yes. Changes apply immediately and will show on new bid requests (existing requests keep the version they saw at submission time). The bid package status shows “Published” or you have successfully moved to the next step. FAQ How many trades can I add to one bid package? Up to 10 trades. What do subcontractors see of my cost breakdown? Only the trade name, Cost Item Title, and Cost Item Description. Cost codes, internal quantities, unit costs, and margins are never visible to bidders. A trade I need is missing from the library. What do I do? Contact support@builderpal.com — we’ll add it quickly. Can I edit the trades or cost items after I publish the bid package? Yes. Open the bid package, go to Trades & Cost Breakdown , make changes, and save again. Yes — click Add new contact directly in the Invite bidders section or see Invite Contacts for details. Can I import many bidders at once? Yes — use the BuilderPal AI helper button to upload a CSV, PDF, or paste text; it will extract and add contacts automatically. Do invitations go out automatically? Invitations are sent only when you Release for bids (or save & publish). You can edit the list until the package is released. Do bidders need a BuilderPal account to receive the invitation? No — they will receive an email invite and can sign up or log in when they click the link. Invited subcontractors When you send an invite via Invite Bidders and they accept → conversation opens immediately. Either party can send the first message. Subcontractors who request via Job Connector Their request appears in your Bid Requests tab → you approve or decline → conversation opens only after you approve. Where to Find Bid Conversations (GC view) Inbox – new messages, invite acceptances, and quote submissions create notifications Bid Leveling screen → subcontractor card → Bid Conversation button Subcontractors tab → select subcontractor → Bid Package section → message area Multiple Trades in One Package If your bid package contains several trades (e.g., Electrical + Low Voltage + Fire Alarm), the subcontractor uses the same single conversation for all of them. They can ask questions or submit bids for any or all trades inside that one thread. What You Can Do Inside the Conversation Send/receive messages in real time Attach project documents, upload new files, or link Google Drive/Dropbox, or paste external URLs Clarify scope, specifications, scheduling, sequencing, exclusions, alternates, etc. Receive quote submissions and revisions directly in the thread After You Award a Trade The bid conversation stays open for reference, but day-to-day communication automatically shifts to the new Project Job Chat (or Action Chats) for the awarded trade(s). Each awarded trade becomes its own project on the subcontractor’s side while remaining organized under your main project on your side. Stopping Messages There is currently no “close” or “mute” button. The conversation remains open as long as the subcontractor is connected to the project. To stop messages entirely, remove or disconnect the subcontractor from the project. When to Use Use bid conversations any time you need to discuss scope, pricing, scheduling, or documents with a bidder — basically every interaction from invite acceptance until award/decline. Subcontractors only ever see their own quote and the bid package line items. They never see your internal estimated values. When you create a bid package, the line items you add in the Trades & Cost Breakdown step automatically flow into your master project estimate (as $0 values by default, or with your existing estimate values if you import them). Subcontractors then price those exact same line items. In bid levelling you are compared: Your internal project estimate (or manually entered values) The bid package estimate (synced copy of your line items) Each subcontractor’s submitted quote (totals + line items + attachments) The left column always shows your numbers. The right side stacks every subcontractor who bid on that trade. Understand how line items sync between estimate and bid levelling — Line items created in the bid package automatically appear in your project estimate. If you imported values from your estimate when creating the package, those numbers stay perfectly synced — update in one place and they update in both. Compare your estimate against subcontractor quote(s) — The left side is locked to your internal numbers and total. The right side shows every subcontractor who submitted for that trade, stacked vertically with their line-item pricing, totals, and any attached files. Evaluate variances, allow revisions, and compare multiple bidders — Scroll line-by-line to spot differences. Subcontractors can resubmit anytime using Remove Quote → new submission. FAQ Can subcontractors see my internal estimate values? No — they only see the bid package line items and their own submitted pricing. What if I didn’t add line items to the bid package? Subcontractors can only submit a lump-sum total; you lose line-item visibility and comparison. Can a subcontractor revise their quote after submission? Yes — they click Remove Quote in their bid conversation and submit a new one as many times as needed. Do updates to my project estimate automatically update in bid levelling? Yes, if you imported the line items when creating the bid package; the values remain synced in both places. How are multiple subcontractors displayed for the same trade? All quotes appear stacked vertically in the same fixed layout for consistent side-by-side comparison. What happens to the bid conversation after I award the bid? The conversation stays open. Yes — this is the recommended way. You can fully build out scope, actions, documents, and bid packages long before awarding the work. What are Internal Notes used for? Anything your team needs to remember: past experience with contractors, screening comments, bidding reminders, insurance notes, etc. The subcontractor never sees these notes. Will the subcontractor automatically get access to the main project documents folder? No. Access to shared project documents is controlled by the toggle you set during creation (or later in the Details tab). By default, they only see their own subcontractor workspace. Do actions, documents, and bid packages I add now carry over when I award the contract? Yes — everything you build in the workspace automatically becomes available to the awarded contact with no extra work. Can I have multiple subcontractors for the same trade (e.g., multiple plumbers or multiple concrete contractors)? Yes. Each workspace is independent, so you can have “Plumbing – Rough-In”, “Plumbing – Finish”, or separate workspaces for different bidders. Can I change the trade name or permissions later? Use this when you have a preferred contact, don’t need competing quotes, and want them on the job right away. The subcontractor still receives a formal award notification and must accept before they are officially added to the project and assignments become active. This is the fastest way to bring a known trade partner onto your project while keeping everything tracked inside BuilderPal. Prerequisites You are an Admin, Team Business Manager, or Team Project Manager on the project. The person you want to assign is already saved in your Contacts . You are working inside an active project. Steps Open the Subcontractors section — In your project, click Subcontractors in the left sidebar. Choose the Subcontractor — Click the subcontractor you want to assign (e.g., Electrician, Plumbing, Debris Hauler, etc.). Start the direct award — In the subcontractor panel that opens, click the Award Contact button (usually at the top next to “Create Bid Package”). Select your contact — Your Contacts list will appear. Find and select the company or person you want to award. They must be a connceted contact. Confirm the award — Click Award Contact in the modal. The award is sent instantly. Confirmation After awarding: The subcontractor now shows the contact’s company name with an “Awaiting acceptance” tag. You will see an Unaward Job button in case you need to reverse it. Any Actions, work items, or responsibilities you already assigned to that subcontractor automatically carry over and will become visible to the contact once they accept. The contact receives a notification in their Inbox and accepts via the Bid Conversation panel (not from their own Subcontractors page). FAQ Q: What’s the difference between Award Contact and inviting bidders? A: Award Contact skips bidding entirely and goes straight to award. Inviting bidders or posting a bid package is for collecting multiple quotes and comparing pricing. Q: Do previously assigned Actions carry over? A: Yes — everything you already assigned to that subcontractor (Actions, files, schedule items, etc.) instantly becomes visible to the contact after they accept. Q: Can I undo the award? A: Yes. Before they accept, click Unaward Job . After acceptance, remove them via normal participant/subcontractor management. Q: What if my contact isn’t in my Contacts list yet? A: You must first add them as a contact (or invite them). Award Contact only works with existing contacts. Q: Will the subcontractor see the award right away? You can award from either the Bid Conversation or the Bid Leveling tab — both trigger the exact same award flow. Partial awards are fully supported (you can split scopes across multiple subcontractors), and you can un-award at any time without penalty if plans change. In edit mode you can update: The main Title at the top The Summary paragraph All content sections (headings, steps, text, bold items, lists, images, video embeds, links) Use the left sidebar tools to manage the page: Copy – Make a duplicate Move – Change location Revisions – See old versions and restore if needed Delete – Remove the article (be careful) Favourite – Save for quick access Export – Download the content Save your changes. When finished, click the Save , Update , or Publish button (usually at the top or bottom). The changes go live right away. Confirmation Refresh the page after saving to make sure your updates show up correctly. The article is now updated for everyone on your BuilderPal team and subcontractors. FAQ What if I don't see the Edit button? You need the right permissions. Contact your team admin (Admin GC) to get access added to your BuilderPal account. Can I undo a mistake after saving? Yes. Use the Revisions option in the sidebar to look at previous versions and go back to an older one. How do I add or update images and screenshots? In edit mode, use the image upload tool in the content editor to add new screenshots. Place them right after the step they relate to for clear visual help.
